Privacy policy

I. General information on data processing

We only process our users' personal data to the extent necessary to provide a functional website and our content and services. This is done to perform the task assigned to us of supporting teaching and research in accordance with Art. 6 para. 1 lit. e DSGVO. Insofar as we obtain consent for the processing of personal data, Art. 6 para. 1 lit. a DSGVO serves as the legal basis. An exception applies in cases where prior consent cannot be obtained for factual reasons and the processing of the data is permitted by law.

II. Connection data and log files

Each time you access the web pages of this repository, your web browser automatically transmits data from the accessing computer. This is a basic function of the World Wide Web and cannot be influenced by us. The following data is transmitted and stored in log files:

  • Date and time of access
  • Addresses of the websites accessed
  • IP address of the user, from which the origin of the website access can be derived (country, city or organization, Internet service provider)
  • Information on the operating system and browser type used
  • Addresses of the websites from which you accessed our websites

The temporary processing of this connection data is technically necessary for the provision of the platform. The data is stored in log files to optimize and ensure the functionality and security of the platform. The data in the log files is regularly processed in anonymized form for statistical purposes. Personal access data is deleted after 7 days.

III. Session cookies

The repository uses so-called session cookies. Session cookies are small units of information that a web server stores in the working memory of the visitor's computer. A randomly generated unique identification number, a so-called session ID, is stored in a session cookie. A cookie also contains information about its origin and the storage period. These cookies cannot store any other data. The session cookies we use are necessary for the function of our website so that your browser can be recognized even after a page change. They are automatically deleted when you close your web browser. Session cookies are not used to create user profiles.

IV. Login data

Registration (login) with personal data is only required for the processing of data by university members, not for searching for or reading access to publications. To publish, university members log in with their university ID. Our repository processes and stores the following user data:

  • Name
  • User ID (only for authentication, is not saved)
  • University ID
  • Time and date of last login
  • User roles (e.g. administrator, the roles are assigned in the repository)
  • Link to the publications recorded in this repository, incl. date and time of the last change

V. Publication data

The purpose of the repository is the worldwide publication and provision of electronic publications. For this purpose, we also store, process and publish personal data of the persons involved in publications:

  • Names and roles (e.g. author, editor)
  • Unique author identifiers (e.g. ORCID iD, GND)
  • Information on organizational affiliation (e.g. university, faculty, institute)

This serves as clear proof and recognition of authorship. When we transfer the publication metadata, we also transfer this personal data to third parties and make it available via interfaces:

  • to scientific and general search engines such as Google
  • to third parties worldwide, via interfaces such as OAI (Open Archives Initiative) and the Google Sitemap protocol
